As soon as you have a date. Late fall through spring is the busiest stretch for events along the Gulf Coast, and the largest tents book first. For big celebrations, reserving three to six months ahead gives you the best selection.

Tent size depends on how guests will spend their time. Use these ranges as a starting point:

• Standing cocktail reception: about 10 sq. ft. per guest
• Seated dinner at round tables: 12–15 sq. ft. per guest
• Long farm-table seating: 10–12 sq. ft. per guest
• Ceremony rows: 8–10 sq. ft. per guest

Plan extra room for a dance floor, bar, buffet, band, or lounge area. Share your guest count and layout ideas and we’ll recommend the right size.

Yes. Our crew installs your tent along with sidewalls, lighting, flooring, and staging, then returns after the event to take everything down. Furniture setup is available for an additional fee.

It depends on where your event is and how large the tent will be. Requirements differ between the City of Sarasota, Sarasota County, Manatee County, the City of Venice, and island towns such as Longboat Key. We’ll help you figure out what applies to your address and provide the tent documentation needed for your application.

Weather along the Gulf Coast can change quickly, especially with summer afternoon storms. Our tents are built for outdoor use, and sidewalls, rain gutters, flooring, and heaters or fan brackets help keep guests comfortable. A tent is never safe shelter during lightning or high winds, so we’ll talk through a weather plan with you before your event.

A non-refundable 50% deposit reserves your rentals. If you cancel more than 7 days before your event, that deposit is all you owe. Within 7 days of your event, the remaining balance is due and no refund is issued.
